Match fee assignments

This article provides information on managing match fee assignments on your Pitchero Club website.

Overview

Match Fees is a dedicated feature allowing Webmasters and Team Admins to easily collect match fee payments from members directly through the Pitchero system.

Once the admin has picked the player(s) for the game, they can be allocated the match fee assignment to complete payment before or after the game.

The assignments page provides a broader view of all paid and unpaid match fee assignments, including filter and request payment tools.


 

View an assignment

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • View the member's match fee assignment
  • Click on the assignment to view the assignment in more detail
    • When the payment was requested
    • When the payment was made
    • Which variant the member was asked to pay for

The club can also use the search and filter options to refine the results shown on the page.


 

Filter assignments

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click 'Filters'
    • Filter by the assignment status (Paid, Part Paid, and Not Paid)
    • Filter by team(s)
    • Filter by the match fee variant
  • Click 'Apply filters'

The page will reload with the filtered information.


 

Request an individual payment

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click on the member's assignment
  • Click 'Request in the side-bar on the right-hand side of the page

The club can update the match fee variant the player is required to pay, see when the payment was last requested, and add a note too.


 

Request all payments

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click 'Request all payments'

A payment request will be sent to all unpaid match fee assignments.


 

Record a cash payment

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click on the member's assignment
  • Click 'Paid Cash'
  • Review the amount
  • Click 'Confirm'

The member's match fee assignment will update to Paid.

If the member has paid a different amount, you can change the match fee variant allocated to the player before recording the payment.


 

Remove an assignment

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click on the member's assignment
  • Click 'Delete'

The member's match fee assignment will be deleted from the Assignments list and the Match Fees on the specific fixture.


 

Export assignments

Webmasters (with access to the Match Fees area of the club admin dashboard) can view match fee assignments, chase members to pay, and export assignments to a .CSV file.

A full or filtered export can be generated of assignments to view and manage externally from Pitchero (e.g. if the Webmaster needs to show a list of unpaid fees for a player/team with someone who doesn't have access to the Match Fees area on Pitchero).

Top Tip:

We recommend that clubs to use the tools available on Pitchero to assign match fees, and to chase members to pay their match fees via Pitchero.

In practice, this saves club volunteers and admin valuable time from separately needing to handle cash and log payments manually on Pitchero.

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Match Fees' from the left-hand menu
  • Click 'Assignments' from the sub-menu
  • Click 'Export Assignments' towards the top of the page
    • It may take a few seconds to generate the report based on the number of assignment rows. We suggest using the filters to reduce the number of assignments you wish to look at (e.g. all unpaid, assignments within the last 12 months)
  • Click 'Download Report'

The .CSV file will be downloaded in your browser ready to open on Excel/Google Sheets. 

Please Note:

The download report link will be available for 20 minutes before the link expires and a new report can be generated.
