Member role requests
This article provides information on who can manage which requests and how to manage them.

Overview
Members can manage their member roles with the club any time via their account. Any roles other than Supporter require moderation by the club.
The Primary Webmaster is able to moderate all member requests, including requests to be a Webmaster.
Webmasters can moderate all membership requests, except new Webmaster requests.
Team Admins can moderate membership requests associated with the team they are an admin of.

Step-by-step guide:
- Go to your club admin dashboard
- Click 'Membership' from the left-hand menu
- Click 'Requests' from the sub-menu
- Locate the member role request
- Click 'View Membership Info'
- If a member has incomplete information for the role they have applied for, it will say 'Required fields missing'
- View the member's information shared with the club (you can also see if the member hasn't provided all of the details required for the role(s) they have applied for)
You can also approve or decline the member's role request via the member's details
Moderate a member request
Moderate a non-parent role application
Step-by-step guide:
- Go to your club admin dashboard
- Click 'Membership' from the left-hand menu
- Click 'Requests' from the sub-menu
- Locate the member's role request
- Click 'Approve' or 'Decline'
The member will be notified automatically to confirm if their request has been approved or declined.
Moderate a parent role application
July 2026 Update:
The processes followed by members applying for the Parent role, and the steps to moderate a Parent role application have been changed. The changes are designed to protect existing user information and ensure the club captures relevant data to make an informed decision moderating the application.
Key changes:
- Applicants will not apply for the Parent role of an existing member, but provide the child's details as a new member.
- Applications will be reviewed by Team Admins and Webmasters to see if there is a match with an existing member to link the applicant to, create a new unregistered member record for the child, or decline the application.
- Team Admins and Webmasters can also see the name of existing parents/guardians linked to the existing member record.
- The processes for applying for the Parent role, and reviewing the Parent role application are the same using the Pitchero Club app and a web browser.
Step-by-step guide:
- Go to your club admin dashboard
- Click 'Membership' from the left-hand menu
- Click 'Requests' from the sub-menu
- Locate the member's role request
- Click 'Review...'
- Review the application details in the overlay against a possible existing member(s) in the club's Membership Database. There are three scenarios:
- Likely match
- The details provided by the applicant are a likely match with an existing member. The match is based on at least one exact match (i.e. existing member's name and/or DOB).
- Options
- Click 'Link this child user' to link the applicant to the existing member record
- Click 'Create new user' to ignore the suggested match and create an unregistered record for the member linked to the parent/guardian
- Click 'Decline request'
- Suggested match (not deemed likely)
- The details provided by the applicant are a possible match with an existing member (based only on a portion of the information being similar (i.e. similar name or match DOB).
- Options
- Click 'Link this child user' to link the applicant to the existing member record
- Click 'Create new user' to ignore the suggested match and create an unregistered record for the member linked to the parent/guardian
- Click 'Decline request'
- No match
- The details provided by the applicant do not match with an existing member.
- Options
- Click 'Create new user' to approve the application and create an unregistered record for the member linked to the parent/guardian
- Click 'Decline request'
- Likely match
Please Note:
Reviewing and moderating a member's role application is really important, and the Team Admin or Webmaster should act with caution to ensure the applicant is genuine and needs the role they have applied for.
