Overview
The club's Membership Database CRM system is a key element of any club; adding, managing, and removing members from the club on Pitchero.
It's important to ensure the club's members have the correct roles, have provided all relevant information to the club, and that their details are stored in one secure place for the club's Webmasters and Team Admins to see and manage.
This article provides information on managing a member's information on Pitchero and prompting members to update their information with the club, managing Player, Coach and Official profiles, and merging members.
Manage a member's information
The member's account is unregistered
If the member's account is unregistered (which means the member doesn't have a login to manage their details on Pitchero), the club can edit any of the member's details, including standard Pitchero fields and custom membership fields created by the club.
The member's account is registered
If the member's account is registered (which means the member has a login to manage their details on Pitchero), it is the member's responsibility to manage their basic details (standard Pitchero fields), including name, email address, DOB, gender and address.
The club cannot update a registered member's standard field information on Pitchero, it's the member's responsibility. In practice, this reduces admin for the club's volunteers.
The club can manage a registered member's custom field information (fields that the club has created to collect/store information from members.
View/update a member's information
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Click on the member's name
- View/update the member's applicable information in the Details overlay.
- Click "Save" to save any changes
Tip:
The club can also view/update members' custom field information in an export of the membership database.
Once the cells of any applicable custom membership fields have been updated in the export, save the file and import it back to Pitchero.
Once the columns of the spreadsheet have been realigned with the club's Membership Database, the new data will supersede the existing data stored on Pitchero.
Prompt a member to update their information
The club can prompt a registered member (or an unregistered member if they have a registered parent(s)) to view/update their information with the club on Pitchero.
Prompts to update information can be sent at any time via the club admin dashboard by a Webmaster with full access to Membership or a Team Admin of the team.
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Find the member(s) in the list
- Click the 'toggle' to the left of their row
- Click 'Prompt to update information'
- Add a note to the message if needed
- Click 'Send'
The selected member(s) will be sent a message to their Pitchero account requesting that they view/update their information with the club on Pitchero.
The user can receive a push notification and/or email regarding the prompt based on their notification preferences.
Manage a member's Player Profile
The member has a Player Profile in the Membership Database if they have the Player role with a team.
Webmasters with full access and Team Admins of the team can manage the member's Player Profile via the Membership Database in the club admin dashboard. The details cannot be changed via the Pitchero Manager app.
View/update the member's Player Profile details
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Click on the member's name
- Click 'Player Profile'
- Make any changes to the profile
- Click 'Save Profile' to save any changes
Tip:
- Clubs managing junior members may not wish to show the junior player's profile or name on the team pages of the website. Use the show yes/no on the member's Player Profile overlay.
- The member may have a different name associated with their Pitchero account, and their Player Profile. See the examples below:
- The member needs to provide their full name to the club; Joseph Smith, but may prefer to be known as Joe Smith on their Player Profile.
- The junior member needs to provide their full name to the club; Joseph Smith, but the club doesn't wish to reference member's full name. The club could enter Joseph S or J Smith on their Player Profile.
Add/change a member's Player Profile image
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Click on the member's name
- Click 'Player Profile'
- Click 'Add / Edit Image'
- Select an image an existing album on Pitchero, or upload a new photo to a new/existing photo album on Pitchero
- Click 'OK (Finished)'
- Click 'Save Profile'
Manage a member's Coach Profile
The member has a Coach Profile in the Membership Database if they have the Coach role with a team. This enables the member to show on the team's page of the website.
Webmasters with full access and Team Admins of the team can manage the member's Coach Profile via the Membership Database in the club admin dashboard. The details cannot be changed via the Pitchero Manager app.
View/update the member's Coach Profile details
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Click on the member's name
- Click 'Coach Profile'
- Make any changes to the profile
- Click 'Save Profile' to save any changes
Add/change a member's Coach Profile image
Step-by-step guide:
- Go to the club admin dashboard
- Click 'Membership' in the left-hand menu
- Click 'Membership Database' in the sub-menu
- Click on the member's name
- Click 'Coach Profile'
- Click 'Add / Edit Image'
- Select an image an existing album on Pitchero, or upload a new photo to a new/existing photo album on Pitchero
- Click 'OK (Finished)'
- Click 'Save Profile'
Manage a member's Official Profile
The member has an Official Profile in the Membership Database if they have the Staff/Official role. This enables the member to show on the club's Contact page.
Webmasters with full access to Membership and Site Content can manage the member's Official Profile via the Site Content area of the club admin dashboard. For more information, see this article.
The details cannot be changed via the Pitchero Manager app.
Merge two or more members
A member only needs one Pitchero user account to manage the different profiles they may need (e.g. for different clubs and roles).
The club can merge two or more unregistered member accounts or an unregistered account into an existing registered account in the Membership Database.
Please note:
- It is not possible to merge two or more registered member accounts on Pitchero.
- The member needs to decide which account they need/wish to use on Pitchero, then remove the other.
- Once a member's accounts have been merged, it is not possible to revert the change.

- Click 'Membership' from the left-hand menu
- Click 'Membership Database' from the sub-menu
- 'Tick' the members you wish to merge
- Click 'Merge'
- Double-check the member records you wish to merge
- Click 'Merge'
