Update an existing product

This article covers how you can update an existing Shop and payments product, including the price, image & description.


 

Overview

Once you have created a product in, Webmasters with access to Shop and payments can change any of the product details in the club control panel before a member has purchased the product.

Once the product has been purchased by a member, you can update some of the details (e.g. product name, description and image).


 

Edit a product

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'

Top tip:

Clubs can also create new product variants (e.g. replace an early bird membership offer with the full price product variant) in the club control panel.

On the Edit Product page, click 'Add another payment option'.

Please note:

Before the product has been purchased by a member, the club can change any of the product details, including the name and the payment provider account that payments are collected to.

Once the product has been purchased by a member, the club cannot change the name or the payment provider account linked to the product.

Our Support Team can assist in updating the product name on the club's behalf (if there was a clerical error with the original product name). If you need assistance, please contact our Support Team with the following information:

  • The existing product name (as listed on Pitchero)

  • The new product name (what you would like the product to be called)

  • A link to the Edit Product page in the club admin dashboard


 

Add, re-order and remove product variants

Add a new product variant

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click 'Add another payment option' on the right-hand side of the page
  • Enter the product variant details
    • Payment type; One-off, Instalments, Subscription
    • Name
    • Price
  • Click 'Add option'

The new product variant will be added to the bottom of the existing list of product variant options.

Please Note:

There are three types of payment collection on Pitchero; One-off, Instalments, and Subscriptions.

Clubs can create and collect One-off and Instalment product variants on the same product, but not ongoing Subscriptions. This is because there is a known amount being collected for a one-off or instalment type product (i.e. a fixed total cost). This isn't the case for subscription product variant.

Subscription product variants need to be created under a separate product in the Shop and Payments area on Pitchero.

Re-order product variants

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click the options menu (3 vertical dots) next to the product variant name
  • Click 'Move up' or 'Move down'

Please Note:

This feature is available on products with two or more product variant options listed.

Remove a product variant

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click the options menu (3 vertical dots) next to the product variant name
  • Click 'Delete'

If the product variant hasn't been purchased by a member, the product variant will be removed from Pitchero.

If the product variant has been purchased by a member, the product variant will be archived on the page. The product variant can be restored on the page so it's available to be purchased again.

An archived product variant will not cancel a member's payment(s) to the club. The club can separately cancel the member's subscription if no future payments are expected.

Top Tip:

Adding and removing product variants are particularly useful for clubs making different variants of the product available to purchase at different times.

For example, the club may sell a discounted membership rate until X date. After the date has passed, the club can create a new variant at the standard membership rate and archive the discounted variant.

This allows the club to manage all payments (including those at different rates) in one place.

Please Note:

A product requires at least one product variant listed at a time. There isn't an option to remove the last product variant on Pitchero.

If the club no longer wishes to sell the product on Pitchero, the club can update the buying status to 'Unavailable to purchase' and/or archive the product. Click here for more information on product visibility and selling options.


 

Daily product purchase reports

Webmasters with access to the Shop and payments area of the club admin dashboard can view products and manage payments collected online from members. But, rather than checking this on a daily basis in Pitchero, we can send a digest email every day confirming new purchases.

In order to receive the email, the member needs to have the Webmaster role with access to the Shop and payments area (so it's aligned with the persons that are able to check payments in the club admin dashboard).

The club can include any/all products within the Shop and payments area to be included in the email report.

Step-by-step guide to selecting an existing product to be included in the daily purchase report email:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Tick the 'Include this product on the Club Shop daily report' option
  • A message should appear at the bottom of the screen to confirm the change

Please note:

Should the club wish to remove a product(s) from the daily purchase report email, complete the same steps as described above but deselect the option rather than select it.


 

Update the price of a product subscription

Clubs collecting recurring payments online from members (i.e. not one-off or instalment payments) can update the subscription price via the club admin dashboard.

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click the three dots of the product variant price under the payment options
  • Click 'Edit'
  • Enter the new price
  • Click 'Save'

Members with an active subscription for this product will be notified of the price change, and the new subscription payment amount will take effect on the member's next payment date.

Please note:

  • The price of the product can only be changed on subscription-based products.

  • Some GoCardless mandates do not allow the subscription price to be changed. In this case, we will alert the club if the subscription price cannot be updated for specific a member's subscription.
    • The club could continue collecting the original price from the member via Pitchero and GoCardless, or cancel the existing the subscription and advise the member to purchase the product again at the new subscription price.
  • After the product has been purchased by a member, the price cannot be changed on a one-off or instalment-based products. Instead, the club would need to create a new product variant for the new price.


 

Add or remove product images

Product images help to show members what they are buying. Clubs can add multiple images to a product in the club admin dashboard.

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click 'Add image'

  • Select an image from your desktop
  • Click 'Upload'

Remove a product image

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' from the left-hand menu
  • Click 'Products' from the sub-menu
  • Click on the product name
  • Click 'Edit product'
  • Click the 3 vertical dots next to the image you wish to remove

Top Tips:

The output of product images on the club's website and the mobile app are square (e.g. 300 x 300 pixels). We advise clubs to upload the highest resolution image available and the system will automatically compress and resize the image to show on the product page. If a club uploads a portrait/landscape image, some of the image may be cropped as the output is square.

If you have added multiple images to the product, you can re-order the images.

On the Edit Product page in the club admin dashboard, click the 3 vertical dots next to the image you wish to re-order, then click 'Move up' or 'Move down'.

Troubleshooting

This section covers common troubleshooting queries:

  • How to change the product name
    • Before the product has been purchased by a member, the club can update any of the product details, including the name, and payment provider to collect payments. This is managed on the Edit Product page in the club admin dashboard by Webmasters (with access to the Shop and Payments area).
    • After the product has been purchased by a member, the club cannot update the product name or payment provider account in the club admin dashboard. This is to provide clarity between the club and its members on what the club sold/what the member purchased. 
      • Our Support Team can assist in updating the product name on the club's behalf (if there was a clerical error with the original product name). If you need assistance, please contact our Support Team with the following information:
        • The existing product name (as listed on Pitchero)
        • The new product name (what you would like the product to be called)
        • A link to the Edit Product page in the club admin dashboard.
