Creating a product with a capacity limit

This article covers creating a ticket or tour product with a capacity limit in Shop and payments on your Pitchero Club website.

Overview

Clubs can create ticket or tour products with a capacity limit within the Shop and Payments section of the club admin dashboard.

The capacity limit allows the club to control how many purchases can be made for the product, or a variant of the product.

The capacity is set for online sales only. Any payments collected offline/away from Pitchero will not be deducted from the capacity set on the product.

Ticket and tour products can be created and updated by Webmasters with full access to the Shop and payments area of the club admin dashboard.

Creating a ticket or tour product with a capacity per product

For example - an awards dinner with 100 seats available across adult, child, and family tickets

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' in the left-hand menu
  • Click 'Products' in the sub-menu
  • Click 'Add a new product' on the right-hand side of the page
  • Click 'Tickets' or 'Tours'
  • Watch the video tutorial or click 'Next'
  • Click 'Per Product'
  • Enter the capacity limit, then click 'Next'
  • Select if there are multiple buying options as 'Yes' or 'No'
  • Select if there are multiple ways for the member to pay for the product 'Yes' or 'No'
  • Select if payments can cover individual members or groups (e.g. family)
  • Select how members can pay for the product
  • Enter the cost of the product, then click 'Next'
  • Select the payment provider
  • Enter the product name and description, then click 'Next'
  • Add a product image or click 'Skip'
  • Select which members can purchase the product
  • Review the product details, then click 'Create my product'

Please note:

The capacity is set for online sales only. Any payments collected offline/away from Pitchero will not be deducted from the capacity set on the product.

Creating a ticket or tour product with a capacity per product variant

For example - match tickets with different availability per stand or section

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' in the left-hand menu
  • Click 'Products' in the sub-menu
  • Click 'Add a new product' on the right-hand side of the page
  • Click 'Tickets' or 'Tours'
  • Watch the video tutorial or click 'Next'
  • Click 'Per Variant'
  • Select if there are multiple buying options as 'Yes' or 'No'
  • Select if there are multiple ways for the member to pay for the product 'Yes' or 'No'
  • Enter the product name, then click 'Next'
  • Enter the name of the first product variant, then click 'Next'
  • Select if payments can cover individual members or groups (e.g. family)
  • Select how members can pay for the product
  • Enter the cost of the product variant, then click 'Next'
  • Enter the capacity limit of the product variant, then click 'Next'
  • Review the product variants and create more if needed, then click 'Next'
  • Select the payment provider
  • Enter a product description, then click 'Next' or 'Skip'
  • Add a product image or click 'Skip'
  • Select which members can purchase the product
  • Review the product details, then click 'Create my product'

Please note:

Creating a ticket or tour product without a capacity

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Shop and payments' in the left-hand menu
  • Click 'Products' in the sub-menu
  • Click 'Add a new product' on the right-hand side of the page
  • Click 'Tickets' or 'Tours'
  • Watch the video tutorial or click 'Next'
  • Click 'No Limit'
  • Select if there are multiple buying options as 'Yes' or 'No'
  • Select if there are multiple ways for the member to pay for the product 'Yes' or 'No'
  • Select if payments can cover individual members or groups (e.g. family)
  • Select how members can pay for the product
  • Enter the cost of the product, then click 'Next'
  • Select the payment provider
  • Enter the product name and description, then click 'Next'
  • Add a product image or click 'Skip'
  • Select which members can purchase the product
  • Review the product details, then click 'Create my product'

Troubleshooting

This section covers common troubleshooting queries:

  • Unable to access the Shop and payments area of your club admin dashboard
    • To access the section, you need to have the Webmaster role with access to the Shop and payments section. Team Admins and Webmasters without this access are not able to access this section.
    • If you have the Webmaster role with access to the Shop and payments section, check that you are logged into the correct account on Pitchero. You can also try reloading the page in your browser, using a different browser, device, and/or network connection.
  • I wish to set a capacity limit on a different product type
    • The option to set a capacity limit on a product (or a variant of a product) is available for ticket or ticket products.
    • We spoke with many clubs before adding the feature to find out which product types a capacity limit would be useful for. The consensus was that clubs did not wish to restrict how many purchases of a different product type (e.g. merchandise or teamwear) because clubs often submit an order to a retailer/manufacturer once a sale is made on Pitchero.
    • Clubs can still control how many (and which) members can buy a product by setting the product to "Only assigned members can purchase".
