Send a club communication message

This article covers how to send a message to members of the club via Pitchero, and additional tools such including sponsors, documents, and recipients.

Overview

Getting the right information to the right people at a club is so important every week. Sending messages with relevant documents and filtering who receives them saves time and makes a club more efficient.

Adding a sponsor to a message is an easy way to increase exposure for them and these can be changed to reflect seasonal offers or benefits.


 

Send a communication message

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Communication' from the left-hand menu
  • Click 'Compose'
  • Under recipients, click 'Select Members'
  • Select members by ticking next to their name then click 'Done'
  • Write the subject and message, include a sponsor and document if relevant, then decide whether to enable or disable replies
  • Click 'Preview Message' to view it, before sending
  • When you're ready, click 'Send Message'

 

Add a sponsor to a communication message

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Communication' from the left-hand menu
  • Click 'Compose'
  • Fill out the relevant fields such as recipients, subject and message
  • Click 'Include a sponsor' and choose a sponsor from the drop-down menu

The choice of sponsors depends on which you have uploaded to your club control panel. Here is how to add sponsors, including URL and graphic.


 

Add a document to a communication message

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Communication' from the left-hand menu
  • Click 'Compose'
  • Fill out the relevant fields such as recipients, subject and message
  • Click 'Attach club document(s) to this message' and document to add

Labelling documents and folders clearly will make it easier to quickly find and attach the correct documents - as there is no 'search' function when composing a message.

  • To attach a document that is not yet uploaded to the club website, click 'Attach a file to this message only (expires in 30 days)' and select a file
    • If you want recipients to have access to the document indefinitely, we advise uploading it to Pitchero (via Site Content > Documents) before attaching the document to the message.

 

Filter recipients

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Communication' from the left-hand menu
  • Click 'Compose'
  • Under recipients, click 'Select Members'
  • On the right-hand side, either filter by roles or teams
  • Click 'Select filter type' to choose other filters such as date of birth or gender

You can add multiple filters to further refine the recipients for a message or click 'Remove' on the right-hand side of a particular filter to delete it.

You still need to select members by ticking next to their name.


 

Send a message to a member group

Step-by-step guide:

  • Go to your club admin dashboard
  • Click 'Communication' from the left-hand menu
  • Click 'Compose'
  • Under recipients, click 'Select Members'
  • On the right-hand side, click 'Select filter type'
  • Select 'Member Groups'
  • Tick to select a specific group or all members groups
  • From that group(s), select members to send a message to by ticking next to their name then click 'Done'
  • Write the subject and message, include a sponsor and document if relevant, then decide whether to enable or disable replies
  • When you're ready, click 'Send Message'

 

Troubleshooting

This section covers common troubleshooting queries:

  • Can I send a message to members who purchased a product?
    • Yes. While this is not currently a feature directly supported, you can do this indirectly using Membership and Communication.
    • Filter to members with a Paid assignment for a product(s) in the Membership Database, then add them to a custom member group. In the Communication area, you can then filter to members in that member group to send a message to.
    • Moving forward, we intend to add a direct feature to communicate with purchasers.
