Players with more than one event on the day can set their availability for individual events on the day, or for the whole day. The availability statuses are: - Available - Maybe - Unavailable This provides Webmasters and Team Admins with a clear view of which players are available for the specific fixture and/or training session. **[Click here](https://blog.pitchero.com/coming-soon-more-flexible-player-availability)** for more information on our Blog. Event-based availability is currently in BETA before being available to all clubs and users. Once event-based availability is live for your club in BETA, the club's members and admins will need the latest version of the Pitchero Club app, v8.12.0, on their phone to see the updated functionality. The functionality will be available automatically using a web browser, no update required. **Top Tips**: - Event-based availability is an additional layer of the existing whole day availability. Players can enter availability for the whole day if the choose to. - Players should choose a status based on their availability, not their preference. - The player's availability status should be a useful gauge of whether they can play. Enter and publish the team selection to confirm who will play in the game. --- ### View player availability #### Using the Pitchero Club app Step-by-step guide: - Open the Pitchero Club app on your phone - Tap the **Schedule** icon at the bottom of the screen - Tap '**Availability**' towards the top of the screen - View a summary of player availability statuses for the day and for each event - Tap on date to get more information for availability for the whole day, or tap on the event to get more information for the availability for that event specifically #### Using the club admin dashboard Step-by-step guide: - Go to the club admin dashboard - Click '**Teams'** from the left-hand menu, then click '**Availability**' from the sub-menu - View tabs of event dates - There could 1 or multiple events on the day - View the player availability status summary or per player ![Screenshot 2026-10-12 at 10.37.58](https://help.pitchero.com/hs-fs/hubfs/Screenshot%202026-10-12%20at%2010.37.58.png?width=670&height=233&name=Screenshot%202026-10-12%20at%2010.37.58.png) **Top Tips**: - Webmaster and Team Admin view - Webmasters (with full access Teams) see players and events across all teams - Team Admins see players and events for their team(s) - Webmasters and Team Admins can use the filtering tools to narrow/expand the view of specific teams for players and events. --- ### Prompt players for their availability Players who have not already set their availability can be prompted automatically 6 and 5 days before the upcoming fixture date. This feature can be enabled/disabled via the Notifications page for the team in the club admin dashboard. Separately, the Webmaster or Team Admin can manually prompt the player to set their availability. #### Using the Pitchero Club app **Top Tip**: For guidance on prompting players for availability, please see the related Help links below: - **[For the team's fixture](https://help.pitchero.com/knowledge/mgr-app-availability)** - **[For the team's training session](https://help.pitchero.com/knowledge/mgr-app-training)** The below section explains how to prompt players for the whole day (if there are multiple events on the day). Step-by-step guide: - Open the Pitchero Club app on your phone - Tap the **Schedule** icon at the bottom of the screen - Tap '**Availability**' towards the top of the screen - Tap the **date** - Tap '**Prompt' these players**' at the bottom of the screen #### Using the club admin dashboard Step-by-step guide: - Go to the club admin dashboard - Click '**Teams'** from the left-hand menu, then click the team name from the sub-menu - Click on the team's **fixture** - Click '**Team Selection**' towards the top of the page - Click '**Send availability prompts**' towards the bottom of the page - View players' existing availability status and when they were last prompted to set availability - Click '**Send Notifications**' at the bottom of the page --- ### Mark a player's availability manually #### Using the Pitchero Club app Step-by-step guide: - Open the Pitchero Club app on your phone - Tap the **Schedule** icon at the bottom of the screen - Tap '**Availability**' towards the top of the screen - Tap the **player's name** - Tap '**Change**' next to the player's existing availability status - Set the new **availability status** - Available - Unavailable - Maybe - Not set **Top Tip**: The default is for the Webmaster or Team Admin to set a player's availability status for the whole day. The admin can tap '**Each event**' and set the player's availability for each event separately on the day #### Using the club admin dashboard ##### Enter/update the player's availability for the whole day Step-by-step guide: - Go to the club admin dashboard - Click '**Teams'** from the left-hand menu and click '**Availability**' from the sub-menu - Click the **player's name** - Enter/update the player's availability status - Available - Unavailable - Maybe - Not Set - Click '**Done**' at the bottom of the overlay ##### Enter/update the player's availability for each event Step-by-step guide: - Go to the club admin dashboard - Click '**Teams'** from the left-hand menu and click '**Availability**' from the sub-menu - Click the **player's name** - Enter/update the player's availability status for one of/each event - Available - Unavailable - Maybe - Not Set - Click '**Done**' at the bottom of the overlay --- ### Troubleshooting This section covers common troubleshooting queries: - No option to choose Whole Day or Each Event for player availability. - Event-based availability is currently in BETA, it's not yet released to all clubs and users. - Clubs are invited to use event-based availability while in BETA.
